1. WHAT IS THE PURPOSE AND SCOPE OF THIS DOCUMENT?
This Participant Privacy Notice (“Notice”) describes how we process the personal information we collect about participants in the Very Rich Challenge Tournaments (the “Tournaments”).
In this Notice, we will use the terms “VRC”, “we”, “us” and “our” to refer to VRC Tournaments, LLC, the entity producing the online Tournament platform you may appear in.
It is important that you read this Notice, together with any other terms, releases, and notices we may provide on specific occasions when collecting or processing your personal information, so you are aware of how and why we use such information.
If third parties are involved in any Tournament and collect your personal information directly, they may use your information according to their own privacy notices, which you should also read.
We may update this Notice at any time, for example, to reflect changes in our processing activities or to meet new legal requirements. This Notice does not form part of any contract with you.
2. HOW DO WE COLLECT YOUR PERSONAL INFORMATION?
We collect personal information about you through our application/casting process and your participation in the online Tournaments and related activities, either directly from you or your representative. We may also collect personal information from third parties authorized by you or through research, including social media and publicly available sources.
3. WHAT INFORMATION DO WE COLLECT AND WHY?
Below are the kinds of personal information we may collect and the purposes for which we use them. This may be supplemented via agreements with you.
- Identifiers: Name, address, telephone numbers, email addresses for you and individuals you provide (e.g., emergency contacts), so we and our partners can communicate with you or them, including for legal compliance.
- Tournament-Related Information: (Depending on the Tournament and as permitted by law), your experiences, background information (e.g., hometown, occupation), personal characteristics (e.g., date of birth, interests), photos or videos (including video submissions and live participation footage), social media handle(s), information about your family/friends, and financial information (e.g., bank details for prize distribution, tax information). We use this to understand your story for casting, producing, and promoting the Tournament and related content.
- Characteristics of Protected Classifications: (As permitted/required by law) Race, religion, sex/gender, gender identity/expression, sexual orientation, marital status, military/veteran status, national origin, ancestry, disability.
- Audio, Electronic, Visual Information: Visual and sound recordings made during your online participation in the Tournament. Used to produce and promote the Tournament and related marketing/advertising content.
- Professional/Employment-Related Information: Information obtained via background checks (if applicable). Done to verify information, protect the integrity of the Tournament, and for reputational reasons.
- Inferences: Drawn from your personal information reflecting preferences, characteristics, behavior, attitudes, abilities, etc..
We collect and use the above categories to comply with the law, seek legal advice, handle litigation, and ensure compliance with policies and contracts.
Some information may be classified as sensitive personal information:
- Health Information: Information you provide about physical or mental health or disability status. Collected to assess fitness for participation (considering the online format’s demands), provide necessary accommodations, ensure appropriate insurance, comply with legal/contractual obligations, and (with permission) tell your story.
- Demographic Information: (If applicable) Gender, gender identity, racial/ethnic origin, sexual orientation, etc., for equal opportunity monitoring, legal compliance, or casting purposes.
4. WHO IS YOUR PERSONAL INFORMATION DISCLOSED TO?
We may disclose each category of personal information listed above within VRC Tournaments LLC, to carry out the purposes described in this Notice. This may include personnel in functions like production operations, development, programming, marketing, legal, and finance. Access to more sensitive information (e.g., health, financial) is restricted to appropriate personnel.
We may also disclose personal information to the following categories of recipients:
- Service Providers: Including technology platform providers, background check providers, and other production service providers supporting the online Tournament.
- Other Production Staff/Companies: Information may be shared with others involved in developing and producing the Tournament.
- Distribution, Publicity, Advertising, Marketing Partners: Aspects of your story may be shared to distribute and promote the Tournament and related content.
- Viewers: Personal information included in the final Tournament content and promotional materials will be seen by viewers.
- Other Disclosures: When required by law, regulation, or court order; in response to legitimate law enforcement requests; to seek legal advice; or in connection with litigation.
5. HOW WE PROTECT YOUR PERSONAL INFORMATION
We maintain organizational, technical, and physical safeguards to help protect the information we collect and use. These safeguards vary depending on the sensitivity of the information. However, no security method is infallible.
6. RIGHTS FOR CALIFORNIA, TEXAS, AND NEBRASKA RESIDENTS
If you are a California, Texas, or Nebraska resident, you (or your authorized agent) have the right to make certain requests regarding your personal information:
- Request Access: To information about the categories of personal information collected, sources, collection purpose, and disclosure details. You can also request access to the specific personal information held about you, subject to exemptions (e.g., data for security, legal privilege, publicly available information).
- Request Correction: To correct incomplete or inaccurate information we hold about you.
- Request Deletion: To ask us to delete your personal information from our records, subject to exceptions (e.g., legal requirements, reasonable internal purposes, security incidents).
- Request Limitation: To limit the use and disclosure of your sensitive personal information to what’s necessary for expected services, subject to exceptions.
We do not sell personal information, share it for targeted advertising, or engage in profiling via automated processing.
We will take reasonable steps to verify your identity (and agent authorization, if applicable) before responding, potentially asking for verification information matching our records. If verification fails, we may deny the request.

7. WASHINGTON AND NEVADA RESIDENTS
If you are a resident of Washington or Nevada and we collect consumer health data about you, you may receive a separate privacy notice regarding its collection and processing.
8. RETAINING YOUR PERSONAL INFORMATION
We keep your personal information as long as necessary to fulfill the collection purposes, including legal, accounting, and reporting requirements. Retention periods consider the information’s amount, nature, sensitivity, potential harm risk from unauthorized use/disclosure, processing purposes, alternative ways to achieve purposes, legal requirements, and our legitimate interests. Certain information (e.g., name, role) will be kept as part of our production records and for legal compliance.
